VAT declaration details shows one VAT declaration: its period, due date, output and input VAT, the amount to pay or receive, and the payments recorded against it. For a prepared declaration you also review the open points and mark it as submitted here.

Open a declaration

  1. Open VAT declarations from the side menu under Accounting.
  2. Select a declaration in the list, or choose View breakdown from the menu at the end of its row.

On a wide screen the details open next to the list; select another declaration to switch. On a phone the details replace the list, and Back returns to it. The page is shown to a Financial admin or Admin. Marking a declaration as submitted and recording payments needs Finance & accounting (Band Gold, Artist Gold); without it the fields and buttons are disabled.

ElementWhat it shows or does
HeadingThe period, for example 2nd quarter 2026.
StatusA label next to the heading: Prepared workpaper for a prepared declaration, otherwise the status, such as Ready to pay, Partially paid, Overdue or Settled.
Record payment or Record refundRecords the money paid to, or received from, the tax authority against the declaration. You can record part of the amount; you enter the amount, the date and the bank account. It shows when the declaration is not only prepared, has a payment or refund due and an amount outstanding. VAT to pay gives Record payment, VAT to receive gives Record refund.
Close (cross) or BackCloses the details next to the list, or returns to the list on a phone.

Declaration

FieldShows
PeriodThe first and last day of the period.
Due dateThe date the declaration is due.
FiledThe date it was filed.
Dutch VAT return boxes (whole euros)For a declaration with a return schema: Schema … with its version.
Output VAT (sales)The VAT charged on sales.
Input VAT (purchases)The VAT paid on purchases, shown as a deduction.
To pay, To receive or Nothing dueThe result: output VAT minus input VAT.

A declaration with a return schema also shows a table of boxes, with the columns Box, Description, Turnover and VAT, grouped in sections. Dutch boxes are in whole euros; the Belgian ones carry cents. Below the figures the page lists the payments (Payments) or refunds (Refunds received) recorded so far, each with its date and bank account, followed by Outstanding. Notes saved with the declaration show as text, and View settlement ledger entry opens the transaction that settled the VAT accounts in the ledger.

Prepared workpaper

Where the country has a return schema, Prepare workpaper in the new declaration dialog creates a prepared declaration. It stays Prepared workpaper until you mark it as submitted. Do this after you have submitted the return to the tax authority yourself; gigBuddy does not send it.

  1. Review the boxes. If the page lists Review items, each one is one of Unmapped VAT amounts, Ledger reconciliation difference or Prior-period amendments, with a count.
  2. Enter a Review note and select Acknowledge next to an item. An acknowledged item shows a check mark. A review item that blocks submission has to be acknowledged first.
  3. Enter the Submission reference: the confirmation or reference from the tax authority.
  4. Select Mark as submitted.

After submission the declaration moves on to payment or refund, and you can record it with Record payment or Record refund. A payment or refund can only be recorded on a submitted declaration.
