Import bank statement reads a bank statement file and books its lines. For each line you choose to skip it, match it to an open invoice or bill, or book it directly as income or an expense. The dialog opens full width from Ledger.
Open the import
- Open Ledger from the side menu under Accounting.
- Select Import statement.
The button needs the Financial admin or Admin role and Finance & accounting (Band Gold, Artist Gold).
Step 1: choose a file
Select Choose file and pick a statement. The accepted formats are CAMT.053 (.xml) and MT940 (.sta, .940, .txt).
Step 2: review the lines
The review step shows the statement as a table and the instruction Review each line. Sort or filter by date or counterparty, tick Skip to leave a line out, and set how each remaining line books.
Opening balance
When the statement carries an opening balance and none is set yet, a notice reads No opening balance is set yet. This statement opens at … on …. Select Set opening balance to use it.
The lines table
Lines are sorted by date, oldest first, 50 per page (25, 50 or 100). Use the table toolbar to filter, and select a column heading to sort. Select a cell in How to book, Supplier, Account or VAT to open its list.
| Column | What it shows or sets |
|---|---|
| Date | The booking date of the line. |
| From | The counterparty. A ↺ marks a reversal. |
| Description | The statement text. A line that repeats an earlier import, a bill that is already paid, a payout that is already recorded, or a line in another currency is skipped, and a warning under the description says why. |
| Amount | Money paid out in red, money received in green. |
| Skip | Tick to leave the line out. A skipped line is dimmed and its other cells cannot be edited. A line that is already booked shows its status instead of a checkbox. |
| How to book | How the line is booked. See the next table. |
| Supplier | For money paid out and booked directly: the supplier to link. Choose a matching supplier, Create "…" with the counterparty name, Create new supplier… to type a name, or No supplier. A single matching supplier is linked automatically. |
| Account | For a direct booking: the expense account (money paid out) or income account (money received). When the app suggests an account it shows Suggested · n% likely. For an invoice match it shows the gig details. For a payout it shows Configure…. |
| VAT | The VAT rate and treatment of a direct booking. The column only shows when the accounting settings charge VAT, and not under a small-business scheme. |
How to book
The list holds the choices that apply to the line.
| Choice | What it does |
|---|---|
| Match invoice … | Money received. Marks the open invoice as paid. With a Mollie payment link the choice reads Match invoice … and deactivate Mollie link and also switches the link off. |
| Match bill #… | Money paid out. Marks the open purchase as paid. |
| Match Shopify payout … | Reconciles a Shopify payout. Only offered when Shopify is connected and the payout is fully synced. |
| Match PayPal payout | Reconciles a PayPal deposit against its orders. |
| Book as expense, Book as income | Books the line directly to the account you choose, without matching a document. |
A match choice carries n% likely when the app has weighed the candidates. The app selects a match by itself only when one candidate is confidently the right one, or when there is exactly one. Otherwise the line starts as a direct booking.
Refresh Shopify payouts
When Shopify is connected, Refresh above the table fetches the latest payouts, so a payout that was not yet synced can be matched.
Payout details
Opened with Configure… in the Account column of a payout line. Select Done to close it.
- Shopify payout. Lists each adjustment that is not an order, with Categorize each non-order payout adjustment before reconciling. Choose an account for each.
- PayPal payout. Choose the orders in the deposit under PayPal orders in this deposit. The summary shows Order gross … · bank deposit … · difference …. When the gross differs from the deposit, choose a PayPal fee or adjustment account for the difference.
Apply to all
When you change the account or the VAT of one line and other lines in the same statement go to or come from the same counterparty with a different value, a dialog asks Apply to all payments to …? or Apply to all receipts from …?. Apply to all copies the value to those lines. Only this line keeps it on this line and does not ask again for that value and counterparty.
Step 3: import
The button at the bottom reads Import n selected, with the number of lines that will be booked. With nothing to book it reads Finish. Cancel closes the dialog without booking. After the import, the dialog shows a summary such as Booked 8, skipped 2. Lines that were not booked or matched are listed in a table with Line and Result. Close returns to the Ledger, which reloads.
The result of a line can be one of these:
| Result | Meaning |
|---|---|
| Booked | The line was booked directly. |
| Matched to invoice, Matched to bill, Matched to Shopify payout, Matched to PayPal payout | The line was matched. |
| Skipped, Foreign currency — skipped, Already booked | The line was left out. |
