Start with your profile and songs, then connect an integration, plan an event, edit your email templates and set up your finances. These are the six steps in gigBuddy's Setup your band guide. In an artist profile, the button is called Setup your workspace.
Where you set things up
| Step in the guide | Where it takes you | What you do there |
|---|---|---|
| Set up your band profile | Profile | Add biographies, social handles, images and the band roster. In an artist profile the step is Set up your artist profile. |
| Import your songs | Songs | Add or import songs and attach links. |
| Connect an integration | Settings › Integrations | Configure one of the services available in your workspace. |
| Plan your first event | Gigs | Create a gig, rehearsal or band event. In a band, also upload a photo for sharing. |
| Make your emails your own | Templates | Create an email template or edit the supplied invoice email template. |
| Finish the finance setup | Finance setup | Complete your accounting and financial profiles and review the remaining setup steps. |
Open the setup guide
- In the workspace you want to set up, select Setup your band at the bottom of the side menu. In an artist profile, select Setup your workspace. When the menu is collapsed, use the rocket icon.
- Select Go beside a step to open its page. The guide closes.
- After making changes, open the guide again to refresh its progress.
The guide is available to Admins in a band and in an artist profile. Each step shows Done or To do, with a count above the list. Progress is checked against the current workspace's saved content each time you open the guide. You do not tick steps yourself. A completed step still has a Go button.
Note
The guide is available on every subscription, but completing all six steps needs features from higher levels. Profile images, integrations and email templates need Band Silver or higher, or Artist Gold. Finance settings need Band Gold or Artist Gold. Controls for missing subscription features show a diamond and an upgrade link.
1. Set up your profile
- Open Profile and select Edit on the identity card. Fill in Short bio and Full bio in your chosen biography language.
- Use Change banner and Change profile picture to upload your own images.
- On Socials, select Edit and add at least one handle for Instagram, Facebook, TikTok, YouTube or Spotify.
- In a band, select Edit on Band members and use Add member to enter the roster.
The step is complete when the workspace has a name, a short bio, a full bio, at least one of those social handles, your own banner and profile picture, and at least two roster members in a band. The default images do not count. An artist profile does not need roster members.
Roster entries and login access are separate. Adding a member here does not send an invitation. See Profile for inviting members, biography languages and image controls.
Create your linkBuddy page
linkBuddy is the public link-in-bio page for your band, on link.gig-buddy.nl. It is not one of the six steps in the setup guide. You can do it once your profile is filled in, because the page shows your profile content. The bio you mark with the star, labelled Show this language on your link page, is the language the page shows.
- Open Profile and select Open linkBuddy in the page header. Or open Dashboard and select Open on the linkBuddy tile.
- The linkBuddy editor opens in a new tab. Build your page there.
linkBuddy is available to a band, not to an artist profile. Opening it needs the Admin role and Band Silver or higher. A band on Band Silver can have up to 3 pages, a band on Band Gold up to 30. Without the subscription level the control shows a diamond and opens the upgrade options. Once a page exists, the dashboard tile shows views and clicks per day.
2. Import your songs
Open Songs. Use Import to choose From CSV… or From ChordPro file (.pro)…. In a band, From a setlist… can read a photo or file and add songs to your repertoire. You can also add songs individually. Adding songs and links needs Contributor or higher.
The experimental Spotify import is offered when the workspace has a usable Spotify artist link. It needs Band Silver or higher, or Artist Gold. Review the selection before importing. ChordPro import needs the same subscription levels.
- Select a song to open Song details.
- Under Links, select Add links, add an address and select Finished.
The step is complete once there is at least one song and a saved song link in the workspace. An audio recording alone does not complete it. See Import setlist and Song details for the import and link controls.
3. Connect an integration
Open Settings › Integrations and expand the service you want to configure. Changing integrations needs Admin on Band Silver or higher, or Artist Gold.
| Service | What it connects | Available in |
|---|---|---|
| Resend | Email delivery. | Band and artist profile |
| Mollie | Online invoice payments. | Band and artist profile |
| Shopify | Merchandise order imports. | Band |
| Bandsintown | Artist profile lookup and upcoming-event imports. | Band |
One configured service completes the step. For Resend, Mollie and Bandsintown, the guide checks for a saved API key or app ID. For Shopify it checks for a client ID, client secret and shop domain. The tick records configuration; it does not verify a successful email, payment or import.
4. Plan your first event
The guide opens Gigs, where New gig creates a gig. A rehearsal or band event also counts. These appear in the Calendar.
In a band, open Share tour dates on Gigs and choose Create Tour Card. On a phone, find it under More. Use Upload photo to add a photo to the sharing library. See Share tour dates for the card controls.
The step is complete when a band has at least one gig, rehearsal or band event, plus at least one photo in its sharing library. An event banner alone does not count as that photo. In an artist profile, an event is enough.
5. Make your emails your own
Open Templates under Network. Use New template to create a Venue outreach or Invoice email template, or open the supplied invoice template and edit its subject or body. Creating and editing needs Contributor or higher on Band Silver or higher, or Artist Gold.
A template you created or an edited supplied invoice template completes the step. The untouched supplied invoice template does not count. Archived templates do not count either. See Templates and Edit for the editor and preview.
6. Finish the finance setup
Select Go beside Finish the finance setup to open Finance setup. Changing finance settings needs Financial admin or Admin on Band Gold or Artist Gold.
- Complete Accounting profile with the country, base currency, financial year and VAT settings.
- Complete Financial profile with the invoice issuer's name, legal form, address and required registration and tax details.
- At Opening balance, choose Enter it now and enter the Bank balance and As of date, or choose Set it later from a bank statement and select Skip for now.
- Review the optional integrations and Default accounts. Use Next to advance and Finish to open the financial dashboard.
The guide checks that the accounting profile is complete and the invoice issuer has the required details. When the workspace charges VAT, it also needs a VAT number. An opening balance or connected payment service is not required for this tick. Selecting Finish does not by itself complete the setup-guide step; the saved profiles must meet those checks.
You can revisit the profiles under Settings › Accounting profile and Financial profile. See Bookkeeping for opening balances and accounting entries.
Hide or restore the guide
Use the cross labelled Hide the setup guide beside the navigation button to hide it for the current workspace. To restore it, open Settings › Accessibility and select Show setup guide again under Setup guide.
Restoring shows the button in every workspace where you hid it in this browser. The preference is stored only in this browser. Hiding or restoring the guide does not change your workspace's content or progress.
