Availability records when a member can attend. It is separate from the yes/no answers on rehearsal options. Record dates on Calendar and change your privacy, travel margin and delegation under Settings › My availability.
At a glance
| Source | Meaning | Where it appears |
|---|---|---|
| Your own availability | Dates you record as available or unavailable. | Calendar |
| Band-wide availability | A calendar entry for the whole band, maintained by Contributor or higher. | Calendar |
| Bookings and travel margin | Availability derived from events and the required gap between them. | Calendar and event availability panels. |
| Attendance vote | Your answer to a particular rehearsal option. | Required participants |
Your own availability
Your availability belongs to you and can be used by the bands you play in. You can always change or remove entries recorded for you by a delegated band planner. Reasons remain private unless you choose to share them.
Band-wide availability and delegation
Contributor or higher can manage whole-band slots and slots for members without accounts. For a member with an account, another planner also needs that member’s permission for the band to maintain their calendar. Delegation does not grant general editing rights to a Reader. Derived bookings are read-only in the calendar.
Travel margin
The travel margin is the required total gap between consecutive events. Availability inside that gap is shown as Travel margin in event availability panels. The month grid does not draw the travel-margin spillover.
Example
With a two-hour travel margin, an event ending at 18:00 and another starting at 19:00 leave a one-hour gap. The gap is one hour short, so the availability check shows travel margin.
Attendance votes
Calendar availability is a scheduling check. It does not cast Yes on a rehearsal option. Planning a rehearsal requires at least one participant and a yes vote from every required participant. See Rehearsal details.
Where you set it
Every member can change their own settings in Settings › Planning and availability. These settings follow the user rather than one band.
| Setting | Where | Effect and default |
|---|---|---|
| Time / travel margin (hours) | My availability | Whole hours from 0 to 24, initially 2. Saved when you leave the field. |
| Let my bands see why I'm unavailable | My availability | Initially off. Bands see that you are busy without the reason. Switch on to share it. |
| Let my bands see what I'm booked for elsewhere | My availability | Initially off. Other bands’ gigs appear as busy without the band or show name. Switch on to share those details. |
| Who may maintain my calendar | My availability | Enable delegation separately for each band with the switch labelled with that band’s name. Changes save immediately. |
| Default start time / Default end time | Planning › Default rehearsal time | Initially 20:00 and 23:00. Prefills new rehearsal proposals only. Changes save automatically. |
